# Submitting intake

Starting an RFP is a short, guided process. You tell MeetingWorks about your event, it asks about whatever is missing, and a brief fills in as you go. Nothing goes to a hotel at this step.

## Three ways to start

Pick whichever fits what you have ready:

* **Just describe it.** Tell MeetingWorks about your event in your own words. It asks about whatever is missing. Best when you want to talk it through.
* **Fill in a form.** Click through the room block, dates, and destination. Best when you already have the numbers.
* **Upload an RFP.** Hand over a PDF, Word, or Excel file up to 25 MB. MeetingWorks reads it and shows you what it found before anything is used. The file is deleted 30 days after you accept what was found, you can delete it sooner, and hotels never see it.

Whichever you pick, it is the same request, and you can switch between them at any time without losing what you entered.

## Your brief, as it fills in

A brief pane shows every value as it is captured, so you can always see what MeetingWorks has. It marks where each value came from: what you stated, what was read from your words or document, and what was assumed from the rest of the brief. If anything is wrong, correct it in place, and your correction is used from then on.

## What the brief captures

MeetingWorks asks for dates, roughly how many people, where, and what the venue must have. A budget, guest rooms on the busiest night, meeting rooms and meals by day, and how firm your dates are all sharpen the match.

## Approving the brief

Once the key details are in, you can approve the brief to rank venues. A readiness meter shows what is still needed to rank and what is optional. Approving opens your shortlist. It does not send anything to a hotel: that happens later, when you submit the RFP for review.
