Planner overview

Your workspace for sourcing venues, from first brief to signed contract.

As a planner, your workspace is built around your events. You describe what you need, MeetingWorks ranks the venues that fit, and you decide between good options. You never browse a directory or run a search.

Where to go

Your sidebar holds everything you need:

  • Meetings. Your home. One row per event, with its RFPs, dates, documents, and sourcing progress. This is where you pick up any event in flight.
  • Start an RFP. Begin a new request. Describe the event, upload an existing RFP, or fill in a form, and MeetingWorks builds the brief with you.
  • Messages. Every conversation with a venue, across all your meetings, in one place.
  • Wallet. Your rewards: what you have earned on booked business and what is on the way.
  • Settings. Your account, your company, and where rewards are paid.

The sourcing flow

Start an RFP Answer a few questions Review and compare the shortlist Validate availability, submit the RFP A person checks the request Read proposals, compare in dollars Award your venue Accept the contract, venue countersigns
  1. Start an RFP and answer a few questions until MeetingWorks has enough to rank venues.
  2. Review your shortlist, compare venues, and set aside any that do not fit.
  3. Validate availability, then submit the RFP for review. A person on the MeetingWorks team checks it before it reaches any venue.
  4. Read the proposals that come back, compare them in dollars, and award the venue you choose.
  5. Accept the contract. The venue countersigns, and the event page stays your record.

What stays yours

Everything about an event lives on one shared record: the brief, the shortlist, every venue reply, and the final proposal. Nothing goes to a hotel until you send it, and a person checks each request before it reaches a venue.
