Venue settings
Settings is where you shape each venue you manage. A venue picker selects which venue you are editing, and the editors are split across tabs so you can work one area at a time. A change is saved per section, and an unsaved edit is marked until you save it.
The tabs
- Listing. The venue’s profile: its description, photos, and property details, meaning the page a planner actually sees. Use “View published profile” to read it exactly as a planner does.
- Event space. The meeting and function spaces you offer, including room sizes. Planners search by square feet, so stating a room’s size keeps your venue in those searches.
- Pricing. The lowest price you will accept for each service, meaning your rate floors. Planners never see these minimums. You can add seasonal and weekday minimums over the base, and where windows overlap the highest applies.
- Leads. Your lead preferences and auto-answer rules.
Lead preferences
These tell the MeetingWorks team which groups a venue wants. Most are advisory, meaning a lead outside them is flagged to the team before they send it, not blocked:
- Target reply time, the speed you aim to answer a new lead.
- Event types and group size, the kinds and sizes of event you want.
- Dates you need business and blackout dates, periods you would like groups or would rather not host.
Two settings are stronger. Turning Accepting new leads off means no new lead is distributed to that venue until you turn it back on. Details you need before you quote actually blocks: a planner is asked for a ticked detail before the RFP can reach you.
Auto-answer rules
Two opt-in rules can answer a lead for you, and both default off. For example, auto-confirm open dates at or above your rate floor. You can undo any automatic answer on the lead and reply yourself.
Email notifications
Your email preferences are account-scoped, so a change covers every venue you manage. You can turn individual emails on or off, such as new lead alerts, reply reminders, planner messages, and booking wins. Turning an alert off stops the email, never the lead itself.
